Commonly all sessions of a class are held at the same time, on the same days and in the same location.
There are exceptions:
In tight timetabling situations it might be necessary to vary this situation. For instance, a weekly class is normally held in room 2, but on the second week of the month, it needs to be moved into an adjacent class room.
There may be a situation where most sessions are held in the same class room, but once a month it may be necessary to go out into the field or into a laboratory or a cinema for a "prac" session. To further complicate matters, this may not be on the same day of the week or in the same time slot.
Session dates are activated in the order in which venues are added. If a venue is added and a session date calculated for it which is the same as an active date from an earlier venue, then the date for the earlier venue stands.
Exceptions:
If the date for the earlier venue is inactive, the date for the new venue overrides. So if the date from the earlier venue is first de-activated, the date from the later venue will apply.
To reach the Class Venue Updates page:
Select the class starting with a tutor, a course or class code.
If you are on the Class Profile page, click Next
Select the class and click the Venue button to bring up the Class Venue Updates page.
There are three sections to the Class Venue Updates page:
The course and class description
A list of the currently defined venues and dates together with buttons to adjust dates.
Where multiple venues are defined, the colour of the date corresponds to the colour of the venue description.
The means to add new venues, delete venues or update venue parameters.
To add a Venue
Enter the first few characters of the venue's name in the Venue Namekey text box.
If the day(s) of the week are different to the first venue defined for the class, tick the appropriate days(s) for this class.
If the Frequency of the new venue differs from the first venue defined for the class, tick the appropriate weeks of the month or the fortnightly cycle (but not both).
It the time slot is different, enter the start and finish times.
if the Terms are different, tick the appropriate boxes.
Click the Add button.
To update a Venue
Click the radio button to the left of the venue to be updated.
If the day(s) of the week have changed, tick the all days for this class.
If the Frequency has changed, tick the appropriate weeks of the month or the fortnightly cycle (but not both).
It the time slot is has changed, enter the start and finish times.
if the Terms have changed, tick the appropriate boxes.
Click the Update button.
To Remove a Venue
Click the radio button to the left of the venue to be removed.
Click Delete
Note: The first (original) venue cannot be deleted.
To Remove or Reactivate Dates
Untick the dates to be removed by clicking on the checkbox to the left of each date
Retick the dates to be reactivated by clicking on the checkbox to the left of each date
To reactivate a date at a different venue, indicate the new venue by clicking the radio button to the left of the venue description
Click Revise Dates
To Add Dates
Enter the next date to be added in the format d/m (e.g. 4/9 for September 4)
Indicate the venue for the new date by clicking the radio button to the left of the venue
Click Add Date
To Change the Venue of a class for One Term or more
Select the class and click on the Venue/Dates button
Under Revise Class Venues:
Fill in the Days, Start/Finish, Trms, Frequency as appropriate for the new venue.
enter the partial name for the new venue, click the Add button, make the appropriate selection and click the Select button
the new venue now appears with the relevant term dates showing in a different colour, but note that the terms for the original venue are incorrect.
Select the original venue under Adjust Class Dates:.
Under Revise Class Venues:
Make any necessary changes to the Days, Start/Finish, Trms, Frequency as appropriate for the original venue. unchanged values need not be entered.
Click on the Update button. Note that the original venue now shows the correct Terms and any other changed values.
